About rutabaga:
Rutabaga Toy Library is a lively community hub where sustainability and play come together! We offer a toy lending service, birthday parties, and nature-based programming for children and families. We’re seeking a versatile and enthusiastic Program Coordinator to help manage our Party Services and Nature Arts programs while also supporting our toy library operations.
KEY Responsibilities:
Program Planning & Execution:
Develop and implement creative, nature-inspired activities that align with our mission of fostering exploration, creativity, and sustainability for our Nature Arts programs.
Plan and coordinate all details for birthday parties and events, from logistics and decorations to eco-friendly activities that wow our guests.
Ensure smooth program and event operations by sourcing materials, managing schedules, and refining processes for optimal efficiency.
Oversee all party and event resources, including supplies, staffing, and venue care, ensuring the space is clean, organized, and ready for the next event.
Expand community offerings, such as game nights, storytime, and private rentals, to grow our business and align with our mission.
Customer Experience & Communication:
Act as the primary point of contact for families, providing outstanding customer service before, during, and after parties or programs.
Manage all customer communications, invoicing, and scheduling to ensure a seamless experience from booking to event completion.
Engage with families during events and programs to ensure safety, fun, and satisfaction at every step of the process.
Flexible Support Across Services:
As a small team, we value flexibility. This role includes supporting the toy library when needed, ensuring a seamless experience for all members.
Engage with members to assist in toy check-ins and check-outs, provide guidance on toy selection, and ensure a positive play environment during open hours.
Manage desk duties, including answering emails, phone calls, processing sales, and restocking supplies, while keeping the space clean and organized.
Desired skills & qualifications:
A flexible team player who thrives in a dynamic environment (availability for evenings and weekends required)
Strong organizational and multitasking abilities with a creative problem-solving mindset
Excellent communication and interpersonal skills, capable of building relationships with a diverse range of children, families, and staff
Experience in event planning or programming, child-centered services required
Enthusiasm for outdoor activities, sustainability, and creating meaningful experiences for children and families
Comfortable working in a busy and sometimes noisy environment
State and Federal background clearances required (can be obtained after hire)
CPR and First Aid Certified preferred
Must be able to lift at least 40 lbs
Employment Details:
This is a full-time with flexible hours, including evenings and weekends as needed for events and programming
$20-22 per hour, based on experience
Start Date: ASAP – we’re looking for someone to jump in and hit the ground running!
